TFReady terms of use
These terms are written in plain English on purpose. They set out what TFReady does, what it doesn't do, and what we each take responsibility for. If anything here is unclear, ask us before you sign up.
1Who we are
TFReady is a New Zealand service, based in Auckland, built to make transitional facility compliance easier to keep on top of. It's built by an accredited TFO who knows what a verifier asks for.
In these terms, "TFReady", "we" and "us" mean the operator of TFReady named on your order form and invoice. "You" means the business that subscribes to TFReady and the people it allows to use it. These terms are a contract between you and us.
TFReady is independent. It is not affiliated with, endorsed by, or acting on behalf of the Ministry for Primary Industries (MPI) or any other government agency.
2What TFReady does
TFReady is a record-keeping and reminder service for operators of MPI transitional facilities. It gives you a place to keep records organised by the clauses of your operating manual, reminds you when things are due, and assembles those records into an audit pack when you ask for one.
Statuses, colours, cross-checks, checklists, templates, reminders and audit packs are aids to help you run your facility. They are not an assessment of compliance. A "current" or green status means a record is on file and in date in TFReady; it does not mean your facility complies with any requirement. The absence of a reminder does not mean nothing is due.
3No guarantee of outcomes
TFReady helps you succeed. It does not guarantee success.
We do not certify, guarantee or warrant that your transitional facility complies with the Biosecurity Act 1993, the MPI Standard for Transitional Facilities for General Uncleared Risk Goods, your approved operating manual, or any other requirement.
Verification outcomes, verification frequency, findings, corrective actions, MPI fees and charges, and any decision to approve, suspend or revoke a facility's approval are made by MPI alone, based on how your facility is run. We do not promise, guarantee or represent any outcome, including an acceptable verification result, fewer or less frequent verifications, a change of verification step, lower MPI fees or charges, any other cost saving, or approval of a new facility, operator, delegate or amendment application.
Any example of MPI fees, verification intervals, costs or savings on our website, in our marketing or in conversation with us is an illustration only. It is not a forecast or a promise for your facility.
4Your responsibilities
You, as the Facility Operator, remain solely responsible for operating your transitional facility and for your compliance. In particular you agree to:
- act on reminders, and check that the dates and details in TFReady are right for your site;
- keep your records accurate, complete and up to date, and keep the originals where a requirement says you must;
- train your people and keep their accreditations current;
- produce records to MPI on request, whether from TFReady or elsewhere;
- use TFReady only for lawful purposes and only for facilities you operate or are authorised to manage;
- not upload material you have no right to share, including another business's manual, records or confidential information.
TFReady never stores applicants' identity documents or fit-and-proper-person answers. You attach and sign those yourself when you apply to MPI.
5Accounts and users
Every person who uses TFReady has their own login. Every record is signed with the user's name and the time. The only shared login is the reception tablet, which can do nothing except sign visitors in and out. You are responsible for who you add, for the access you give them, and for removing people when they leave. Keep passwords private and tell us straight away if you think an account has been misused.
The Primary Nominated Delegate on your account controls users, access and billing. If that person changes, tell us so we can transfer control properly.
6Your data
Your records are yours. We don't claim ownership of anything you upload, and we don't share it with MPI or anyone else unless you generate an audit pack or an auditor link yourself, or the law requires us to.
You give us permission to store, back up and process your data so that we can provide the service. Data is stored in Sydney, Australia, with daily offsite backups. We use reasonable security measures, including encrypted connections, hashed passwords and separation between customers' sites, and we will tell you promptly if we become aware of a breach affecting your data.
You can export your records and audit packs at any time. If your site is closed or deleted, we keep an archived copy for two years, in line with the record-keeping period in the TF standard, unless you ask us in writing to delete it sooner and the law allows us to.
We may use anonymised, aggregated information (for example, how often reminders are used) to improve the service. We never publish anything that identifies your business or your site without your written agreement.
7Fees and billing
Subscriptions are charged per site, per year, in New Zealand dollars. We are not registered for GST, so no GST is added. If we register for GST, we will tell you at least 30 days before GST is added to any invoice. The current prices are on our pricing page and in your account. Your subscription runs for 12 months from the day you sign up and renews for a further 12 months unless you cancel before the renewal date.
You can upgrade at any time and pay the difference pro rata. Downgrades take effect at your next renewal. One-off services such as application packs, manual work, review calls and the setup service are charged separately, at the fixed price shown or quoted before we start. Auditor share links are included in every plan.
We may change prices for a new subscription period by giving you at least 60 days' notice. Founding-member price locks are honoured for the period stated in your offer. If an invoice is more than 30 days overdue we may suspend access until it is paid, but we will not delete your data for non-payment.
8Trials, founding members and the money-back guarantee
Free trial. Each new site can try TFReady free for 30 days with every feature of the Complete plan. There is one free trial per site, identified by its MPI approval number; setting the same facility up again does not start a new trial. Trials are available once TFReady launches, and are offered first to sites on the waitlist that do not qualify for a founding place, in the order they joined. At the end of the trial you choose a plan. If you choose Essentials or Professional, the features outside that plan pause, but everything you recorded during the trial stays in your account and readable, and you can keep recording on your plan. If you don't choose a plan, your site is archived and can be reactivated within 90 days. For founding members, the founding free period below replaces the 30-day trial.
The founding-member offer is available to the first 10 qualifying sites and closes when those places are taken. To qualify, a site must: (a) be a single approved transitional facility in the Auckland region (a multi-site operator may enrol one of its sites); (b) have an MPI verification due within six months of joining; and (c) take our paid setup service. Places are offered to qualifying sites on the waitlist in the order they joined. We may ask for reasonable evidence, such as the approval number or the date of the last verification report, and we may decline a site that does not meet these conditions. The free period ends at your next MPI verification or after six months, whichever is sooner, and applies only when you take the paid setup service. After the free period, founding members pay 20% off the list price for their plan for their first two paid years, and that price does not increase during those two years. From the third year the then-current list price applies. In return you agree to a short feedback call and to let us ask you for a testimonial, which you are free to decline.
Money-back guarantee. We refund the subscription fee for the current subscription year in full if TFReady lets you down at a verification. That means all of the following apply:
- an MPI verification of your facility, carried out while you were subscribed, records a finding for a date that had lapsed or a record that could not be produced;
- that item was set up in your TFReady account before the verification; and
- the cause was TFReady: either a reminder for that item was not sent on schedule, or a record that had been entered in TFReady before the verification could not be produced from TFReady at the verification (for example because it was missing from the audit pack or TFReady was unavailable).
To claim, contact us within 30 days of receiving the verification report and give us a copy of the report and any corrective action request. We check the claim against the report and your TFReady evidence log, which records every reminder sent (what, when and to whom) and every record with the date it is about and the time it was entered.
The guarantee does not cover findings about the physical site or its operation (such as fencing, signage, pests or weeds found, waste handling or the conduct of staff), items that were never set up in TFReady, reminders that were sent but not acted on, records that were not entered or were entered after the verification, or records that were in TFReady but not shown to the verifier. It covers subscription fees only, not the setup service or other one-off charges, and can be claimed once per site. A refund under this guarantee ends your subscription at the end of the paid period. This guarantee is our promise about our own service. It is not a promise about any MPI outcome, and section 3 still applies in full.
9Cancelling and leaving
You can cancel at any time from your account or by emailing us. Your subscription stays active until the end of the period you have paid for; we don't refund unused time except where the law requires it. Before your access ends, export what you need. After that, your site is archived as described in section 6.
We can end your account on 30 days' notice, or immediately if you break these terms in a serious way, use the service unlawfully, or put other customers' data at risk. If we end the service as a whole, we will give you at least 90 days' notice and a way to export everything.
10Availability and support
We aim to keep TFReady available at all times, but we can't promise it will never be interrupted. We schedule maintenance outside normal business hours where we can and give notice in the app. Because MPI accepts paper records, you can always record anything on paper during an outage and enter it afterwards; nothing in TFReady is designed to stop you recording a container or a compliance record.
Support is by email during New Zealand business hours. Complete-plan customers get priority support and an annual review call.
11Liability
You are acquiring TFReady for the purposes of a business, and you agree that the Consumer Guarantees Act 1993 does not apply, and that sections 9, 12A and 13 of the Fair Trading Act 1986 do not apply, to the extent the law allows.
To the extent permitted by law, we are not liable for any MPI fees or charges, findings, corrective actions, increased verification frequency, suspension or revocation of approval, or any other loss that arises from how your facility is operated or from relying on TFReady in place of your own judgement. We are not liable for indirect or consequential loss, or loss of profit, business or goodwill.
Our total liability to you in any 12-month period, for anything connected with these terms or the service, is limited to the subscription fees you paid us in that period.
12General
We may update these terms. If a change is significant we will give you at least 30 days' notice by email and in the app. If you keep using TFReady after that, the new terms apply. These terms are governed by New Zealand law and the New Zealand courts. If part of these terms is found to be unenforceable, the rest still applies.

When you join the waitlist we collect your name, business, email address, role and region, and your consent to be contacted. We use this to send you the audit-readiness checklist and news about the TFReady launch, and for nothing else. We don't sell or share it. Every email we send tells you how to unsubscribe, and you can ask us to delete your details at any time by emailing hello@tfready.co.nz. If you send us a question through the contact form, we collect your name, business (if given), email address and your question, and use them only to answer you; we keep a copy so we can follow up. We collect and hold this information in line with the Privacy Act 2020 and send commercial email only with your consent, as the Unsolicited Electronic Messages Act 2007 requires.
