Why it matters

Every record you can't find in time is a finding.

A verifier doesn't mark you down for keeping paper. They mark you down for the certificate you couldn't produce while they waited, the manual review that slipped a month, the AP training that expired while nobody was looking. The record was probably in the folder. It just wasn't in your hand.

Findings decide how often MPI comes back. Verification is performance-based: sites with good results are visited less often, sites with poor results are visited more often, and every visit is charged by the hour.

Example at about $1,000 a visit. MPI charges $155.50 an hour plus travel (excl GST), and a visit with reporting often runs past $1,000. Your intervals depend on your site's biosecurity profile.

What the invoice doesn't show

  • Your team's time. Pulling folders, chasing certificates and walking the verifier around, at every extra visit.
  • Corrective actions. Each finding means a CAP to write, fix and close before the next visit.
  • Risk to your approval. Keep falling short and your TF status is on the line, and so is your ability to receive uncleared goods.

Questions operators ask

Straight answers.

Is TFReady approved or endorsed by MPI?

No. TFReady is an independent service and has no connection with the Ministry for Primary Industries. MPI accepts paper or digital records as long as you can produce them on request. We help you keep them in order; MPI decides whether your site complies.

Will it get me fewer verification visits?

We can't promise that, and you should be wary of anyone who does. Verification frequency depends on how your site performs and on your biosecurity profile, and MPI decides both. What TFReady does is make lapsed dates and missing records far less likely, and those are the most common findings.

Do I have to move everything off paper?

No. Many sites keep their old paper books, close them off with a dated note, and run everything new in TFReady. You need to keep records for at least two years, so the old folder stays on the shelf until it ages out.

The folder on the shelf isn't the problem. The problem is relying on it. Paper can't tell you a waste collection is overdue or an AP certificate expires next month, and it can't find the March certificate while the verifier waits. TFReady does those three things from the day you switch, whatever is still in the old folder. If you'd rather not keep two systems, our setup service can photograph and tag the last two years for you.

What does the setup service include?

We load your manual, certificates and the last two years of records, set your reminder dates and walk your delegates through the first week. We agree the scope and timing with you in a fixed quote before we start. It's priced separately, usually $500–1,500 depending on the size of the site.

Where is my data stored, and who can see it?

Data is stored in Sydney, Australia, with daily offsite backups. Only the users you add can see your site. Nothing is shared with MPI unless you generate an audit pack or an auditor link yourself. Your records stay yours, and you can export them at any time.

Is my data backed up?

Yes. Everything is backed up every night, with a copy kept offsite in a separate location. You can also export all of your records and files yourself at any time, so you're never relying on us alone.

What happens if I stop subscribing?

You can export your records and audit pack before your subscription ends. We keep your site archived for the two-year record-keeping period in case you need it, then delete it.

How is this different from MyTF?

MyTF is organised around shipments and documents and charges per user. TFReady is organised around the clauses of your manual, covers daily site operations like visitor sign-in and waste and pest registers, and has unlimited users and containers on every plan.
